Invoicing for Pheasants

MacFarlane Pheasants customers tell us what they want, and it’s our job to listen. When we take an order for pheasants, chicks, or eggs, we talk to our customers and then find out what works for them. When do you want your birds?

We’re listening and we’re writing the whole time. We have special orange order forms on which we take down orders. That information goes on the delivery sheet, which keeps track of all our deliveries from day to day. Before we ship anything, we’ll confirm that date with the customer, along with their order details. For some of our customers, we’ll even email them a copy, so they too can confirm the information. It’s only after that point that we’ll send the invoice. We use QuickBooks for all of our invoicing, and we create a packet that includes the invoice, original hand-written order, and driving directions, which is given to our Mature Birds coordinator.

Our MB coordinator then double-checks everything from an in-house 10-point checklist, and then she processes the health certificate. For out-of-state orders, our vet signs them through an online system, and for Wisconsin orders we fax the health forms weekly. The pen crew then prepares the crates (how many, what size crates, gender and species numbers). Once the vet signs, we print off the forms and staple them to the invoice that accompanies the deliveries. These are the originals and are given to the customer. We keep copies, and the drivers have copies, too. When they arrive at our customer’s, the customer signs the form, which also lets us record any birds that died in shipping. Those signed forms come back to the office.

At MacFarlane Pheasants, we value our customers. We show them this in the details; we listen to them when they place an order, and try to accommodate their needs throughout the process. In this manner, less mistakes are made, and our customers know that they can trust us with their order.
